Use quotes to record a commercial offer and approvals to review entry into a controlled deal stage. Quote acceptance and stage approval are separate decisions. Neither is proof of payment.
Watch the lesson
Prepare and review a quote
- Select the company and open CRM > Quotes & Proposals.
- Create a quote and choose its permitted customer and deal relationships. Select the offer's currency.
- Add Quote items with a name, quantity and unit price. Select an Optional product only when you have access to that company's products.
- Enter the supported percentage discount and tax, then review the saved totals and relationships. Do not assume line-level tax or fixed-amount discount semantics from another CRM.
- Use Download quote when offered and inspect the document before sharing it through your approved channel.
- Record the appropriate status: draft, sent, accepted, rejected or expired. A saved sent status alone is not an external-delivery receipt.
Accepted commercial terms and customer/deal relationships are protected. To revise them, return the quote to draft, make and review the changes, then record its new status. An ordinary descriptive edit does not silently revise accepted amounts. Record versions protect against overwriting another person's changes.
Request a stage approval
A pipeline administrator can configure an Approval required destination stage. The approvals feature must be available in addition to pipeline configuration.
- Review the deal's values, required fields and intended stage.
- Create a pending Approval for that deal and requested stage in the same pipeline.
- An authorized approver reviews the request and changes its status to approved or rejected.
- Review the result before advancing the deal. The transition still checks the current deal, stage and required fields.
The request records its reviewed deal version. If the deal or requested scope changes, create a new request. Completed decisions retain their evidence; an old approved request cannot authorize changed terms. A rejected decision is not bypassed by retrying the deal save.
Connect the sale to service
After the required accepted, won-sale checks succeed, an authorized user can enroll an onboarding template. Check the enrollment and actual resulting task or support ticket. A won deal, accepted offer or approved stage does not prove payment, account activation or completed service delivery.
Access, limits and recovery
Quotes and approvals need their own enabled release surfaces, purchased capabilities and staff/record permissions. Quotes consume finite tenant-wide capacity. Approval authority is separate from the ability to see the deal or create a request. A missing product, customer or stage may be outside your company or current permissions.
On a stale-record warning, reopen the latest version and review again. On a feature or capacity denial, consult Access and capacity rather than duplicating the quote or approval. Existing data remains subject to retained-read rules after a downgrade; it does not enable new premium work.
