WhatsApp Templates: Manage Approved Message Formats

WhatsApp Templates is where you manage the message templates saved in Nviti. Templates can be drafts, submitted templates waiting for Meta review, approved templates ready for campaigns, or rejected templates that need changes.

Use this page to review your template library, edit local template details, and sync approval status from Meta.

Accessing WhatsApp Templates

  1. Open your Workspace
  2. Go to Marketing
  3. Open WhatsApp Templates

What You See in the Template List

Column Description
Name The Meta template name used when sending
WhatsApp Account The WABA that owns and can send the template
Category Marketing or Utility
Language The template language, such as en_US
Status Draft, Submitted, Approved, or Rejected

Only templates with APPROVED status are available when creating a WhatsApp template broadcast.

Template Statuses

DRAFT

The template is saved locally in Nviti and has not been submitted to Meta.

Use this status while writing or reviewing message copy.

PENDING

The template has been sent to Meta for approval. It cannot be used for production template broadcasts until Meta approves it.

Use Sync Status to check whether Meta has approved or rejected it.

APPROVED

The template is ready to use in Broadcasts and WhatsApp workflow actions.

Approved templates are selected by their template name and language when sending through the WhatsApp Business API.

REJECTED

Meta rejected the template. Review the rejection reason, update the template copy or category, and submit a revised template.

Syncing Template Status

Meta status and quality webhooks update templates automatically. Click Sync Status on a template row to fetch the latest state manually, or use Sync from Meta to refresh the full catalog for one WhatsApp Business account.

Nviti uses the WhatsApp Business account directly assigned to the template. It never falls back to a different account because Meta templates are WABA-specific.

Sync Status can update:

  • Meta template ID
  • Status
  • Category
  • Language
  • Components
  • Rejection reason
  • Last synced timestamp

Syncing is useful after submitting a template through Template Builder because Meta approval can happen after the initial submission.

Using Templates in Broadcasts

To use a template in a broadcast:

  1. Create or edit a broadcast.
  2. Select WhatsApp as the channel.
  3. Select the WhatsApp Business account that will send the broadcast.
  4. Choose Use Template as the content type.
  5. Select an approved template.
  6. Map every template variable to a contact field or a constant value and provide fallbacks where needed.
  7. Upload campaign header media when the approved template has an image, video, or document header.

If the template does not appear, check that:

  • Its status is APPROVED.
  • It belongs to the current company.
  • You have synced status after Meta approval.
  • The selected WhatsApp Business account can use the template in Meta.

Template Ownership and WhatsApp Business Accounts

Templates are submitted to a specific Meta/WABA account. If your company has multiple WhatsApp Business accounts, submit templates under the account that will send the campaigns.

For example:

  • Brand A WhatsApp number should use templates submitted under Brand A’s WhatsApp Business account.
  • Brand B WhatsApp number should use templates submitted under Brand B’s account.

This avoids send failures caused by trying to use a template that does not exist in the selected sender account.

Editing Templates

Drafts are editable. Pending and approved templates are read-only. Rejected templates can be corrected and resubmitted, while the WABA, name, language, and variable style remain locked. Use Duplicate as Draft for a new version of any submitted template.

Best Practices

  • Sync template status before creating a broadcast.
  • Use descriptive template names.
  • Keep one template per message purpose.
  • Avoid editing approved templates casually; create new versions when campaign copy changes.
  • Keep Marketing and Utility purposes distinct.
  • Make sure the sending WhatsApp Business account owns or has access to the selected template.

Troubleshooting

Template Is Approved in Meta but Not in Nviti

Run Sync Status on the template row.

Sync Status Fails

Check that the WhatsApp Business account is active and has:

  • Access token
  • WABA ID or business account ID
  • Permission to read message templates

Broadcast Send Fails for a Template

Check that:

  • The broadcast sender account is the same account that owns the template.
  • The template name matches Meta exactly.
  • The template language is correct.
  • The template status is approved.
  • The WhatsApp Wallet is active and funded.
